Policy

Laurie
Auditorium will hold a date for a maximum of ninety (90) days unless
challenged. If challenged you have three (3) working days to confirm
or release the date. After
ninety (90)
days a contract ( includes non-refundable deposit ) must be issued
to confirm
the date. Otherwise, after ninety (90) days
the University will deem the event cancelled and release the date.
A request for
a contract for the use of Laurie Auditorium must be submitted
in
writing at
least
ninety days prior to the event date. You may email the Director
at the address below.
Please include:
A
maximum of two ( 2 ) days a month may be held as " first hold".
Any additional dates will
be placed as "second hold" There is no hold available after
a second.
When
a contract is issued, please read and follow carefully the instructions
in the cover letter and the body of the contract.
Rules and Regulations
The
following general rules and regulations are to insure a safe working
environment for the employees of Trinity University and the user. Smoking
Laurie Auditorium and all facilities at Trinity University are non-smoking.
Banners and Signs
Decorations, banners or signs may not be fastened to ceiling, painted
surfaces, columns, or decorative walls.
Damages
Client is responsible for any damages to the building, furnishings
or equipment. Damages should be reported immediately to the Technical
Coordinator or the Director.
Decorating Materials
Helium balloons, glitter, confetti, adhesive decals, stickers or any
other decorative material may be brought into the building with the
written consent of the Technical Coordinator. An additional charge
will be assessed for any items requiring removal by the facility staff.
All decorations placed anywhere in Laurie Auditorium must be flame
retardant.
Load-In/Load Out
Loading and unloading is permitted through the loading dock only.
Passenger elevators are for passengers only, NO EXCEPTIONS. There is
a freight elevator to the lobby accessible from the Yellow Level parking
garage. Please contact the Technical Coordinator for access to this
elevator.
Shipping and Receiving
No packages or freight will be accepted prior to contracted move in
dates without written consent of the Technical Coordinator. The moving
of shipped freight from assigned spaces is the sole responsibility
of the client. Alternate arrangements may be made through the Technical
Coordinator. Return shipments are the responsibility of the client
and must be off the loading dock within 24 hours of load out.
Trash
Client is responsible for COMPLETE removal of bulk trash. This is
material that cannot be picked up by a broom. This includes pallets;
scrap lumber, unused programs and similar trash.
Audio and Lighting
Laurie Auditorium has an extensive inventory of sound and lighting
equipment to handle your on stage needs.
Other technical equipment rented, supplied or brought in by the
client is the responsibility of the client.
Rigging
All rigging
in Laurie Auditorium must be handled by the Auditorium staff or
approved personnel and must be arranged in advance through
the Technical Coordinator.
Ground supported
trusses or other overhead equipment is not permitted. Tomcat systems
may be used with prior consent.
Security
Laurie Auditorium reserves the right to require additional security
personnel for the purpose of public safety.
