FEDERAL WORK-STUDY FAQs
What documentation is required to begin work on campus?
- Prior to the start of employment, eligible FWS students must complete and return their FWS Employment Agreement (signed by both the student and supervisor) to the Office of Financial Aid.
- Students who will be working on campus for the first time must report to the Office of Human Resources for job placement and for completion of W-4 and I-9 forms.
How do I find a work-study job on campus?
Positions are available campus-wide. A list of positions is available in the Office of Human Resources at Northrup Hall, Room 108 or online at humanresources@trinity.edu. The list will provide you with a brief job description, supervisor's name, and location.
- If you are awarded Federal Work-Study, you may pick-up your employment agreement at the Office of Human Resources. You should also take this opportunity to complete the W-4 and I-9 forms. Please bring proper identification with you to complete your I-9 Form. (The two most commonly accepted forms of identification are a Driver's License and an original Social Security Card.)
- Once you have selected a potential position, you may contact the designated supervisor to schedule an interview.
- Upon accepting a position, your Employment Agreement must be signed by both you and your supervisor and returned to the Office of Financial Aid.
- Please note that you are not considered placed and cannot begin working until all documents are approved and your employment agreement is signed by a financial aid counselor.
What should I know about my work-study earnings?
- The Office of Financial Aid determines the maximum dollar amount of funds to be earned per semester.
- Excess hours worked will not be paid by Federal Work-Study.
- All students will be paid bi-weekly, earning at least minimum wage.
What are my responsibilities with regard to my work-study position?
- You are responsible to your assigned supervisor.
- You must contact your supervisor for clarification of your work schedule and specific departmental rules.
- In the event of illness or other circumstances that may interfere with your assigned working schedule, you must contact your supervisor.
- You are expected to remain with your work-study position for the entire time of employment.
- You and your supervisor must keep an up-to-date record of your hours worked on a bi-weekly basis and you must submit your time sheet(s) to the Payroll Department on the date required.
- Failure to turn in your time sheets in a timely manner will result in the delay of your pay.
- Holding timesheets until the end of the semester is prohibited. Any attempts to falsify time sheets will be grounds for dismissal and your award will be cancelled.
