FREQUENTLY ASKED QUESTIONS for CLASSIFIED EMPLOYEES

The Payroll Office is pleased to provide you with answers to questions that are frequently asked by persons employed at the University.  It is the goal of the Payroll Office to assist you and ensure the timely and accurate payment of wages.

When are time cards due?
     Time cards are due every other Monday before 10:0 AM in Northrup Hall, room 108.  Do not submit a time card that is without signatures.  It is  
     recommended that you keep a copy of your time card for your records.

What if my supervisor is not present to sign my time card?
    
Submit a COPY of your time card to Payroll by the deadline.  When you get your supervisor to sign your original time card, turn it in to Payroll in a
     timely manner.

What if I am not at work when time cards are due?
     We recommend that you have a designated person turn in your time card by the deadline when you are absent to insure that you get paid.  If your
     time card in not turned in by the deadline, you will receive a manual check, which means that your money will not go to direct deposit.

What is direct deposit and how do I enroll?
     Direct deposit is a secure and convenient method of depositing your pay directly to your bank account.  To enroll, complete an Application for
     Direct Deposit form available from Payroll.  You will be asked to provide your bank's name, routing number, account number and a blank check
     with the word "VOID" written across the front.

What is a W-4 and how many allowances should I claim?
     The Form W-4, Employee's Withholding Allowances Certificate, determines how much federal income tax to deduct from your pay.  You will
     receive this form in Human Resources after you are hired for your job.  Anyone working and receiving a paycheck from the University must
     complete this form at the beginning of your employment.  It is beyond the scope of duties of the Payroll Office to advise you of how many
     allowances to claim on your W-4.  For more information, visit www.irs.gov .

I was expecting overtime pay but did not receive it, why?
     Overtime wages are based upon hours "physically" worked each week.  The total of 40 hours worked cannot include:
      *    Holidays
      *    Vacation leave
      *    Sick Leave
      *    Jury duty

What should I do if I have a permanent change of address?
    
Inform Human Resources in Northrup Hall, room 108, or call Human Resources at Ext. 7507.  Advise them to change your permanent address.
     This insures that you will receive your W-2 form in a timely manner for tax purposes.

How do I get a duplicate copy of my W-2 form?
    
You will need to go to the Payroll office in Northrup Hall, room 108C and fill out a duplicate W-2 request form.  Payroll will inform you when it is
     ready for pick up, or you may request that it be mailed to you.

How will my final paycheck be handled?
    
Final wages are paid by manual check, not direct deposit.  Employees who tender resignations are required to complete a Clearance Form to
     insure all debts to the University are paid prior to receiving their final paycheck.  Involuntarily terminated employees will be cleared by phone.  Upon
     receiving notice of resignation/termination, Payroll will cancel direct deposit of the employee's final paycheck.  The clearance procedure is initiated
     and concludes at Human Resources.
