FREQUENTLY ASKED QUESTIONS for STUDENTS
The Payroll Office is pleased to provide you with answers to questions that are frequently asked by students employed at the University. For many students, this may be your first job on campus and you may not know what to expect. It is the goal of the Payroll Office to assist you and ensure the timely and accurate payment of wages.
When
are student worksheets due?
Worksheets are due every other Thursday
before 11 A.M. in Northrup Hall, room 108. Do not submit a
worksheet that is incomplete (missing
signatures, department, pay period dates,
your SSN or student ID). This may delay processing of your
paycheck. It is recommended that you
keep a copy of your worksheet for your
records. A payroll schedule for the academic year can be
obtained from the Payroll Office.
If my
worksheet is turned in after the
deadline, will I still get paid?
It
cannot be guaranteed that you will receive a paycheck on the scheduled
payday if your worksheet is late. However, an effort will be
made to
ensure it is processed or you will be paid on
the next scheduled pay date. If a pattern of consistent lateness
occurs, your supervisor will be
contacted.
I did not
receive a paycheck, why?
There could be several reasons why
you did not receive a paycheck. For example:
* If this
is your first job on campus, have you completed all the required
paperwork in Human Resources?
* Has
your supervisor completed and returned to Human Resources the
appropriate student work authorization forms?
* Did you
submit your completed worksheet to payroll before the deadline?
* Was all
the appropriate information given on your worksheet? Failure to
complete your worksheet properly will result in your paycheck being
held in Payroll until the information is complete or corrected.
Can I hold my worksheet and
just get one big check at the end of the semester?
Holding timesheets is STRICTLY
PROHIBITED. Is also causes a higher amount of taxes to be
withheld as taxes are calculated on a biweekly
pay schedule.
What is direct deposit and how
do I enroll?
Direct deposit is a secure and convenient
method of depositing your pay directly to your bank account. To
enroll, complete an
Application for
Direct Deposit form available from Payroll.
You will be asked to provide your bank's name, routing number, account
number and a blank check
with the word "VOID" written across
the front.
Do I have to enroll for direct
deposit each semester?
No, you do not have to enroll for
direct deposit each semester. Your records will remain in effect
until you make a change or cancel the request.
If you switch banks or close your account
that your wages are deposited to, please contact Payroll as soon as
possible.
What is a W-4 and how many
allowances should I claim?
The Form W-4, Employee's Withholding
Allowances Certificate, determines how much federal income tax to
deduct from your pay. You will
receive this form in Human Resources after
you are hired for your job. Anyone working and receiving a
paycheck from the University must
complete this form at the beginning of your
employment. It is beyond the scope of duties of the Payroll
Office to advise you of how many
allowances to claim on your W-4. For
more information, visit
www.irs.gov
.
I lost
my paycheck, what can I do?
If you
believe you have lost your paycheck, please notify Payroll right away.
You will be asked to complete a Request for a Duplicate Check.
Upon verification that the original check has
not been cashed, another check will be issued to you. Requests
by email are acceptable, however
telephone requests are not.
Where do
I pick up my paycheck?
Any student worker that has a campus
box will receive their paychecks via campus mail. If you live
off campus, your paycheck will be available in
Human Resources.
Can I
cash my paycheck on campus?
Yes, you may take your paycheck to
the cashier's window located in Northrup Hall, room 142 and they will
cash your check at no charge.
If you have further questions, please contact Payroll at Ext. 7302 or via email at payroll@trinity.edu. The Payroll Office is located in Human Resources, Northrup Hall, room 108C.
