Subject: Protecting Trinity University: Sensitive Personal Information

Trinity Students, Faculty and Staff,

As you may be aware; Trinity University has recently seen an increase in theft of University owned laptop computers. Fortunately, no loss of Sensitive Personal Data was reported in these thefts. However, if one of these laptops had contained Sensitive Personal Information, this information could have been compromised and the University as well as the employee would have been held responsible.

We would like to remind you that protecting University Sensitive Personal Information from disclosure and misuse is an extremely important part of all of our jobs. The number one cause of electronic security breaches at Universities is negligence of well intentioned insiders (e.g., employees, students) with legitimate access to the internal resources.  Should you have access to personal information, we ask that you take precautions to safeguard this information by storing it on the Trinity network file servers (U: Drive for Faculty and Staff and Y: Drive for Students) and NEVER on your computer’s hard drive. Furthermore, it is imperative that you secure or password protect all University computers as well as all cell phones, smart phones and Personal Digital Assistants (PDAs) that allow access to Sensitive Personal Information. Please be careful NEVER to provide your password to anyone under any circumstances.

For further information on what constitutes Sensitive Personal Information and instructions on how to protect it, please visit the Security Awareness page on the IRAA website.
